DEFINITION: Under general supervision, provides clerical and secretarial support services for a wide variety of legal functions; and performs related duties as required.

DISTINGUISHING CHARACTERISTICS: This is the entry level in the legal secretarial series. The duties require an understanding of legal procedures and formats but available supervision and standardized policies and precedents limit the extent of initiative and ultimate responsibility. Specialization in assignments also may limit complexity.

EXAMPLES OF DUTIES: Types from rough draft, verbal instructions, dictating equipment, or on own initiative, into proper legal format: correspondence, memoranda, complaints, motions, answers, warrants, subpoenas, commitments, hearing reports, interviews, depositions, briefs, points and authorities, extraditions, jury instructions, verdicts, opinions, ordinances, resolutions, contracts, and related legal documents; maintains files and indexes, recording trial information, dates, pleas, convictions, acquittals, sentences, and other dispositions; files documents with the courts; provides discovery and case information to attorneys, other agencies, and all persons entitled to such information; communicates in person, by telephone, fax, or by mail, with other jurisdictions for proof of prior offenses and rap sheets; maintains security of data in accordance with regulations; prepares calendars for the courts; reviews and processes misdemeanor and felony complaints, information, indictments, and search warrants; maintains statistics; prepares reports.


1. Two years of clerical experience in a legal setting; or,
2. one year of clerical experience in a legal setting performing the duties of Office Assistant II with Santa Barbara County; or,
3. a combination of training, education, and experience that is equivalent to one of the employment standards listed above and that provides the required knowledge and abilities.

Knowledge of: standard office methods and equipment such as personal computer, dictating/transcribing equipment, and fax; standard English usage and grammar for business and legal documents; legal terminology and legal document layout and format; word processing software.

Ability to: understand and follow oral and written directions; type and assemble information into proper legal format from outlined instructions or established procedures; maintain a variety of files and legal documents, and reports; work independently in the absence of specific instructions; establish and maintain effective working relationships with departmental staff, legal, and court personnel; maintain confidentiality; type 50 net words per minute; use a computer; organize and prioritize work.
