Judicial Assistant -Sheriff

Judicial Assistant II-Sheriff (#4291)

$15.25-$18.62 hourly / $2,653-$3,239 monthly / Range: 4796

DEFINITION: Under general supervision, provides clerical and technical support to staff within the Civil Services Bureau of the Sheriff's Department through the acceptance, examination, and processing of legal documents; and performs related duties as required.

DISTINGUISHING CHARACTERISTICS:

Judicial Assistant I -- This is the entry-level class in which incumbents learn the procedures, methods, and regulations governing legal filings and document preparation.

Judicial Assistant II -- This is the journey-level class in which incumbents independently perform the full range of legal processing support activities.

The Judicial Assistant I/II is distinguished from the Office Assistant series by duties that require knowledge and application of legal codes and rules.

These classes are not part of a flexible-staffing series.

EXAMPLE OF DUTIES:

1. Examines and accepts court documents; processes documents related to the filing and adjudication of cases; determines appropriate fees according to the type of document; accepts payment of fees, bail, and fines; operates and balances a cash register and maintains appropriate records; prepares and certifies copies of documents; prepares files and inserts documents; enters information from legal documents into the computer; locates and pulls proper files; searches files, dockets, and computer records for information.
2. Provides information and assistance to staff, attorneys, and public regarding cases, rules, and procedures of the court; administers oaths; composes and types correspondence in response to inquiries.
3. Conducts research pertaining to document filing requirements to ensure conformance; determines time requirements for specific calendar documents needing judicial approval; reviews files for completeness and for background material to issue summonses, citations, writs, and abstracts of judgments.

EMPLOYMENT STANDARDS:

Judicial Assistant I:

1. Equivalent to graduation from high school and three years of clerical experience; or,
2. a combination of training, education, and experience that is equivalent to the employment standard listed above and that provides the required knowledge and abilities.

Additional Qualification: Some positions may require the ability to type at 45 words per minute.

Knowledge of: office practices; basic arithmetic; and English grammar and usage.

Ability to: pay attention to detail; read, understand, explain, and comply with a variety of detailed procedures; organize work tasks; establish and maintain working relationships with staff, legal community, and the public.

Desirable Qualification: Possession of education or experience in legal procedures, court activities, or legal office support.

Judicial Assistant II:

1. Successful completion of college-level courses or equivalent specialized training in legal terminology and legal procedures and one year of experience performing duties equivalent to Judicial Assistant I with Santa Barbara County; or,
2. a combination of training, education, and experience that is equivalent to the employment standard listed above and that provides the required knowledge and abilities.
