Board Assistant
Salary: $16.69-$20.37 hourly / $2,902-$3,543 monthly /

DEFINITION: Under general supervision, examines and
accepts documents and official records for the Board of Supervisor
and related boards and commissions; records and maintains minutes of
their proceedings; and performs related duties as required.
DISTINGUISHING CHARACTERISTICS: This class is found in the
Clerk of the Board Division of the County Administrator’s Office and
in the Planning and Development Department. Incumbents in this class
learn to perform the full range of duties involving agenda
preparation and acceptance and review of documents concerning Board
or Commission business. Incumbents are expected to learn the full
range of duties and work at the journey level within a relatively
short period of time. Board Assistant is distinguished from Board
Assistant Specialist by the former performing duties having less
complexity and breadth of responsibility and which are more narrow
in scope than that of the latter.
EXAMPLES OF DUTIES:
- Accepts documents for placement on the agenda; examines and
accepts agenda documents for completeness and proper form
according to document type; contacts submitting party to obtain
missing information and complete Board packet; provides procedural
information to departments and public for placement of items on
the agenda.
- Under direction, prepares Board agenda and maintains Board
master calendar; attends Board and District meetings; prepares
documents for Chair’s signature and distribution; prepares written
summary of agenda recommendations, orders, and minutes.
- Maintains a database of agenda materials, Board actions,
claims, and summonses; performs related filing and research.
- Accepts and examines bonds, appeals, and claims; releases
bonds to banks, bonding companies, and individuals; provides
information at public counter; maintains and updates County
commission appointments and rosters; publishes legal notices and
bids.
EMPLOYMENT STANDARDS:
- Four years of progressively responsible clerical duties; or,
- one year of experience performing duties equivalent to Office
Assistant Senior with Santa Barbara County; or,
- a combination of training, education, and experience that is
equivalent to one of the employment standards listed above and
that provides the required knowledge and abilities.
Knowledge of: office practices; standard filing and
indexing systems; word-processing software; proper English usage,
including spelling, grammar, and punctuation.
Ability to: attend to detail; comprehend, explain, and
comply with a variety of detailed procedures; maintain working
relationships with staff and public; coordinate work with staff of
County departments, County Administrator’s Office and Board of
Supervisors; learn the laws, policies, and procedures associated
with public meetings; learn statutory code research techniques;
learn County functions and terminology; use a computer for office
applications.
Desirable Qualifications: Experience providing clerical or
administrative support to official boards, commissions, or elected
bodies. Knowledge of database management software. |
